Hiring workflows

Review, screen & compare

AI review with evidence, written screening, take-home assignments, feedback from people outside Otter, and side-by-side comparison with a link for the hiring manager. AI only summarises and quotes; a person always decides, and nobody is rejected automatically.

AI review with evidence

Each application is checked against the job's requirements: every requirement is marked Met, Partly or Not met, with a short quote from the resume as proof. Quotes that can't be found word for word in the resume are dropped. The result is a fit level (Excellent, Strong, Good, Fair, Poor) you can filter on in Candidates, on the job board and in the CSV export.

On a job board, Review all with AI refreshes up to 120 candidates a click (the daily AI limit applies). Older scores stay visible and are upgraded when a profile is opened. Filters only narrow what you see; nobody is moved or rejected.

Written screening

Job → Screening: write 3–5 questions, each with “what a good answer shows” (AI can suggest them from the job description). Send from the candidate profile, or automatically when a candidate reaches a chosen stage. Candidates answer on their phone through a private link (autosave, one question per screen, due in 2, 3 or 7 days at 11:59 PM workspace time) and get a copy of their answers.

The profile's Screening tab shows the full answers and an AI summary: met or partly per question, with exact quotes from the answers. The AI never scores pass/fail, rejects or moves anyone. The board shows badges (sent, answered 3/4, overdue); you can remind or cancel, and “Sort by criteria met” only changes the order.

Take-home assignments

Job → Assignments: save reusable assignments with a brief, up to 5 brief files, a due time (3, 5 or 7 days, 6 PM workspace time) and scorecard criteria. Send one from the profile (saved or one-off), in bulk from the board, or automatically at a chosen stage.

The candidate submits a link and/or files with a note, and can resubmit until the deadline. They get a reminder about a day before it's due. On the profile's Assignment tab you see when it came in (“1 day early”), the files (safety-checked, not virus-scanned) and the scores, and you can press + Score this assignment. Remind (sends a fresh link) or cancel at any time.

Request feedback from anyone

On a candidate profile, Request feedback emails a private review link to anyone, such as an advisor or a teammate without an Otter login. They see the resume and a short form, but never the candidate's contact details. Links last 14 days, work once and can be cancelled. Answers show on the Scorecards tab and in the activity feed, and you get a notification.

Compare candidates and share with a hiring manager

Tick 2–4 candidates on the board, or on Candidates filtered by job, and press Compare. One table shows AI evidence, scorecards, written screening, knockout answers, notice period, experience, city and, only for people allowed to see salaries, current → expected CTC. Use Show only differences, move people (not to Rejected) or download a PDF.

Share with hiring manager sends a link that needs no sign-in (14 days, can be cancelled). It never includes contact details; CTC is off by default and only people who can see salaries can switch it on. On a phone the manager swipes between candidates and taps Send my pick with an optional note. The pick shows on the job page and in your Inbox.
